This role coordinates all aspects of Far East direct shipment supply, order processing, and FOB shipping arrangements for US retail customers. The position supports commercial account management with detailed factory coordination and shipping logistics, ensuring timely, compliant, and cost-effective delivery of customer orders from vendors to US retail destinations.

This role coordinates the end-to-end planning, production, and FOB shipment process for key US and other major retailers. Acting as a liaison between customers, Far East factories, freight forwarders, and internal departments, the postholder ensures that all orders are accurately processed, efficiently produced, and shipped on time under FOB terms.

The position involves supporting production schedules based on customer orders, raising purchase orders, and coordinating manufacturing timelines with critical FOB shipment deadlines. Close coordination with factories across the Far East ensures that raw materials, packaging, and finished goods are produced to the required standard while maintaining agreed costs and margin expectations.

Day-to-day responsibilities include monitoring production progress, managing FOB export documentation, coordinating with freight forwarders, booking containers, and communicating shipment and inventory updates to both customers and internal stakeholders. The role requires maintaining regular contact with US retail buying teams, the H&I Asia Sales Director, NPD Managers, and customer 3PL partners, to ensure clarity on lead times, order status, FOB delivery expectations, and proactively resolving any issues that could impact shipment performance.

The successful candidate will demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced, deadline-driven environment.

Experience in export logistics coordination, FOB shipping to US retailers, and supply chain administration—particularly in FMCG or gifting sectors—is essential.

In this role, building effective customer relationships will be essential to fulfil US retail customers' business requirements and support long-term supply partnerships through disciplined planning, operational coordination, and clear communication across all global production channels.

Ensuring products are compliant is critical to their shipment and sales. This role will involve working closely with H&I's Compliance team and NPD managers to ensure that Product Submission Forms (featuring product data, commodity codes, final artwork) are submitted to relevant compliance partners in line with required deadlines to ensure that H&I has authorization to produce goods on time to meet customers' ship dates.

  • *Core Responsibilities**

· Support day-to-day communication with US retail customers, providing shipment updates, production schedules, and FOB delivery timelines from order placement to destination.

· Liaise directly with Far East factories to coordinate production schedules, ensuring adherence to customer timelines, capacity, and quality requirements.

· Raise and manage purchase orders (POs) in accordance with forecasted and confirmed business, maintaining accurate data in purchasing and sales order systems (INTACT), Financial Shipping Files, and Production Master Sheets.

· Coordinate the full FOB direct shipment process including export documentation, container bookings, freight forwarder communication, packing approvals, and on-time dispatch to US retail customers.

· Monitor factory lead times, material readiness, and shipment milestones; identify potential delays and escalate issues through collaboration with supply chain and commercial teams.

· Coordinate factory and customer production planning with customer orders and their seasonal requirements for US retail destinations.

· Oversee price ticket ordering, factory label guidance, and case label arrangements for US retail chain purchase orders.

· Assist with costing, pricing, and margin verification to ensure financial accuracy across each order cycle.

· Prepare regular shipment reports, summarizing factory performance, FOB delivery KPIs, and tracking against customer expectations.

· Maintain accurate records of all FOB shipping arrangements, including incoterms, carrier details, and customs documentation requirements for US imports.

  • *Experience Required**

· Experience in supply chain coordination and international logistics, ideally within cosmetics, gifting, or FMCG sectors.

· Proven experience with FOB shipping arrangements to US retail customers, including understanding of incoterms, export documentation, and US import requirements.
