Role: Tender & Bid Coordinator (Construction – EWI & Render / Retrofit Facades)
Part-time | Remote (UK-based)
EWI Specialist Ltd is seeking a Tender & Bid Coordinator to manage our tender pipeline and support bid submissions across platforms including Constructionline and other tender portals. This is a coordination role: you will organise opportunities, documentation and submissions, while the Director provides pricing and final approval.
Key Responsibilities
Tender search & pipeline management
Monitor opportunities on Constructionline and other portals (e.g., Bidstats, Find a Tender, Contracts Finder, Westworks and client/contractor portals).
Set up and maintain saved searches/alerts and a tender tracker (deadlines, values, requirements, status).
Provide a weekly shortlist of suitable opportunities with a simple go/no-go recommendation.
Bid coordination & submissions
Download tender packs, identify requirements, and create submission checklists.
Coordinate inputs (technical responses, programmes, compliance documents, case studies, CVs).
Prepare portal uploads and support submissions (file naming, version control, confirmations, audit trail).
Manage clarification questions and deadlines and keep accurate records of all bids submitted.
Document control / bid library
Maintain a bid library of policies, insurances, accreditations, case studies and standard responses.
Track document expiry dates and highlight gaps that could prevent bidding.
Supply chain outreach (subcontract opportunities)
Identify relevant main contractors/housing providers and the correct procurement/supply chain contacts.
Send targeted LinkedIn messages/emails to request inclusion on tender lists and subcontract frameworks.
Maintain a contact and follow-up log.
No mass messaging—activity must be targeted, professional and recorded in the tracker.

Required Skills & Experience
Experience in tender/bid coordination or tender administration within construction/maintenance/retrofit.
Comfortable working with tender portals (Constructionline experience preferred).
Strong organisation, attention to detail and deadline management.
Excellent written English and professional document formatting.
Confident with Microsoft Office / Google Workspace and PDF handling.
Desirable
Knowledge of EWI and render systems (silicone/acrylic finishes, mesh/basecoat, beads/profiles, detailing around openings).
Social housing / retrofit experience, or general façade/externals experience.
Hours & Engagement
Part-time, flexible hours (typically 10–15 hours per week, depending on tender volume).
Remote working; occasional visit only if agreed in advance.
