About The Role

We are seeking an experienced Sales & Supply Chain Coordinator to provide essential administrative and operational support to our Sales team. This role plays a key part in ensuring seamless coordination between our London head office, warehouse, retail partners, spas, TV shopping channels and global distributors.

This is a role combining office-based sales operations with regular in-store support across London (including department store partners such as John Lewis). It is ideally suited to someone with proven experience in sales administration, supply chain support or retail head office operations within a consumer brand environment.

Key Responsibilities

Sales & Supply Chain Support

  • Support the Sales team with day-to-day sales administration, including order processing, tracking open orders, back orders and returns.
  • Accurately enter sales orders into internal systems and ensure timely updates to all relevant stakeholders.
  • Liaise closely with the warehouse team to ensure timely dispatch of orders and resolution of delivery issues or discrepancies.
  • Monitor stock levels, order patterns and sales trends to proactively recommend replenishment and avoid out-of-stocks, supporting sales performance and revenue continuity.

CRM, Reporting & Compliance

  • Maintain and update the CRM system, ensuring accurate customer, account and sales data.
  • Assist with sales reporting, stock analysis and inventory management.
  • Complete and submit New Line Forms (NLFs) for retailers and QA Spec Cards for TV shopping, ensuring all documentation is accurate and compliant.
  • Maintain organised records of contracts, order forms, NLFs and related documentation.

Retail, TV Shopping & Account Support

  • Support retail, spa, TV shopping and distribution accounts with ad-hoc queries via phone and email.
  • Provide administrative support for TV shopping, including sample coordination, diary scheduling and on-air asset management.
  • Build strong working relationships with internal teams, retail partners and external stakeholders.

In-Store Support

  • Monitor and manage stock levels in-store, ensuring merchandising standards are maintained.
  • Build positive relationships with store teams to support brand awareness and sales performance.

Essential Experience (Please Read Before Applying)

  • Minimum 4 years’ experience in a sales administration, sales operations, supply chain or retail head office role
  • Proven experience working with sales orders, stock management and retailer accounts
  • Experience using CRM systems and managing sales data
  • Background in beauty, FMCG, retail or consumer goods (highly desirable)
  • Confident working across office, warehouse and retail environments

Skills & Attributes

  • Commercially aware, with an understanding of how operational excellence supports sales growth.
  • Strong Excel skills (reporting, data accuracy; pivots/XLOOKUPs beneficial)
  • Excellent organisational skills with strong attention to detail
