ROLE PURPOSE

The Procurement Specialist (Northern Europe) will support our healthcare and IVF operations across the UK and Nordic regions, ensuring clinics have access to the products and services they need while driving cost efficiencies and compliance.

This role will focus primarily on local procurement (approximately 90% of the time) and contribute to global procurement initiatives (approximately 10%). The ideal candidate is detail-oriented, analytical and experienced in end-to-end procurement processes, with familiarity in healthcare or IVF supply markets.

DUTIES AND OBJECTIVES

The Procurement Specialist plays a critical role in the Procurement team, enabling operational efficiency and supporting business growth.

Key Responsibilities

  • Maintain Product/Service Catalogues: Keep master catalogs of approved products and services up-to-date, ensuring clinics can easily access standard items and pricing.
  • Purchase Order Oversight: Review and approve purchase order requests in the ERP system, verifying compliance with procurement policies.
  • Support Incident Resolution: Act as the escalation point for procurement-related issues at clinics, resolving urgent stock-outs, quality problems, or delivery delays swiftly.
  • Monitor Procurement KPIs: Track, analyse and report key procurement performance indicators to measure effectiveness and identify improvement opportunities.
  • Identify Category Opportunities: Evaluate local spending categories for cost savings, vendor consolidation, or value improvements.
  • Lead Specification Standardization: Harmonize product and service specifications across clinics to improve quality consistency and leverage group purchasing.
  • Execute Supplier Sourcing: Conduct end-to-end sourcing initiatives, including market research, RFP/RFQ preparation, supplier negotiation, and contracting.
  • Assess Vendor Performance: Monitor supplier performance and develop improvement plans as needed.
  • Contribute to Global Initiatives: Collaborate with the global procurement team to ensure local activities align with global strategy.
  • Governance and Compliance: Participate in procurement governance forums, tender committees, and contract review meetings; uphold approval workflows and procurement policies.

Performance Objectives

  • Maintain accurate and accessible product/service catalogues for clinics.
  • Ensure 100% compliance of purchase orders with approval workflows.
  • Resolve procurement incidents within defined SLA targets.
  • Achieve measurable savings or value improvements in local procurement categories.
  • Standardize key specifications across multiple sites to optimize quality and costs.
  • Support global procurement initiatives with timely and accurate local insights.

Collaboration and Communication

  • Work closely with clinic managers, finance and operational teams.
  • Liaise with local and international suppliers.
  • Participate in regional and global procurement meetings.
  • Coordinate with internal stakeholders to ensure smooth procurement processes across all clinics.

Continuous Improvement

  • Stay updated with procurement trends, tools, and best practices.
  • Identify opportunities for process improvements and efficiencies.

KEY RESULTS / KPIs

  • Up-to-date and accessible product/service catalogs.
  • Timely approval and processing of purchase orders.
  • Supplier performance meets agreed service levels.
  • Procurement KPIs (e.g., savings, compliance rates) are achieved.
  • Successful completion of sourcing initiatives.
  • Contribution to global procurement projects aligned with strategy.

QUALIFICATIONS

  • Bachelor’s degree in Business, Supply Chain Management, or a related field (or equivalent experience).
  • Several years (3+ preferred) of procurement or purchasing experience, ideally in healthcare, IVF, or laboratory/medical supplies.

EXPERIENCE / PERSONAL EXPECTATION

Experience

  • Proven track record in end-to-end procurement processes.
  • Experience in international or multi-site operations is highly desirable.
  • Familiarity with the healthcare or IVF supply market is advantageous.

Technical Skills

  • Proficiency with ERP/E-procurement systems (e.g., Microsoft Dynamics 365 Navision/Business Central).
  • Spend analysis and reporting using dashboards or “spend cubes.”
  • Supplier performance tracking and vendor database management.
  • Experience with e-auctions, online tendering, and catalog management systems.

Preferred Practical Skills

  • Knowledge of procurement governance and compliance procedures.
  • Ability to standardize specifications across multiple sites.
